Legal Hi Tech Limited ("we", "us" or "our") is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal data when you purchase, download, register, or use the Legal Hi Tech Documents Management Suite (the "Software") or interact with our website at legalhitech.com.

Legal Hi Tech Limited acts as a data controller in respect of the personal data described in this Policy. This Policy is issued in accordance with the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018.

We do not collect your case data, client data, or e-filing credentials. All such data entered into the Software is stored locally on your device only and is never transmitted to or accessed by Legal Hi Tech Limited.

3. How We Use Your Personal Data

We use your personal data only for the following purposes, each supported by a lawful basis under UK GDPR:

  • Licence administration and activation — to issue, verify, and manage your software licence. Lawful basis: performance of a contract.
  • Pricing and subscription management — to determine applicable pricing tiers, process renewals, and manage subscription changes. This includes checking the country of issue of your payment card against your declared jurisdiction, to ensure the correct regional price is applied. Lawful basis: performance of a contract and legitimate interests in preventing circumvention of regional pricing.
  • Customer support — to respond to your enquiries, bug reports, and support requests. Lawful basis: performance of a contract and legitimate interests.
  • Product communications — to notify you of updates, new features, security notices, and amendments to this Policy or the EULA. Lawful basis: legitimate interests and, where required, consent.
  • Legal compliance — to comply with our legal obligations, including tax, accounting, and regulatory requirements. Lawful basis: legal obligation.
  • Marketing communications — to send you information about new products or offerings from Legal Hi Tech Limited, where you have consented or where permitted by law. You may opt out at any time. Lawful basis: consent or legitimate interests.

4. Data We Do Not Collect or Process

The following data is expressly outside the scope of what Legal Hi Tech Limited collects, stores, or processes:

  • Court e-filing portal credentials (usernames and passwords entered into the Software)
  • Case numbers, client names, or matter references entered into the Software
  • Documents processed, compiled, or generated using the Software
  • Contents of any PDF, Word, or image file handled by the Software

All of the above remains entirely on your local device and under your exclusive control at all times.

The same applies to the free web tools at legalhitech.com. Every file you load into those tools is processed entirely within your own browser using local processing. Your files are never uploaded to, transmitted to, stored on, or accessible by any Legal Hi Tech Limited server or any third-party server. We receive no copy of the file, no filename, and no content, and we retain nothing after you close the page.

5. Data Sharing and Third Parties

We do not sell, trade, or rent your personal data to any third party. We may share your data only in the following limited circumstances:

  • Payment processors — to process subscription payments securely. Payment processors operate under their own privacy policies and are bound by applicable data protection law.
  • Email service providers — to deliver licence confirmations, product updates, and support communications.
  • Hosting, database and workflow automation providers — to store licence records securely and to process download requests. These providers act only on our documented instructions under written data processing agreements.
  • Legal and regulatory authorities — where required by law, court order, or regulatory obligation.
  • Business transfers — in the event of a merger, acquisition, or sale of Legal Hi Tech Limited, your data may be transferred to the successor entity, subject to equivalent privacy protections.

All third-party service providers acting on our behalf are bound by data processing agreements requiring them to process your data only on our instructions and in accordance with applicable law.

6. International Data Transfers

Legal Hi Tech Limited is registered in the United Kingdom. Where we transfer your personal data outside the UK, we ensure that appropriate safeguards are in place in accordance with UK GDPR, including reliance on adequacy decisions, standard contractual clauses, or other recognised transfer mechanisms.

7. How Long We Retain Your Data

We retain your personal data only for as long as necessary for the purposes for which it was collected, and in accordance with our legal obligations:

  • Free including Trial and Early Access licence data — retained for the duration of your licence and for 2 years thereafter, after which identifying details are deleted or anonymised.
  • Paid subscription data — retained for the duration of your subscription and for 6 years thereafter, to meet our tax and accounting obligations and to allow claims to be brought or defended within the applicable limitation period.
  • Anonymised licence records — once identifying details have been removed, we may retain anonymised records of licences issued indefinitely for statistical and business record purposes. Such records cannot be linked back to you.
  • Support and communications data — retained for 3 years from the date of last contact.
  • Marketing data — retained until you opt out or withdraw consent.

When data is no longer required, it is securely deleted or anonymised.

8. Your Rights Under UK GDPR

You have the following rights in relation to the personal data we hold about you. To exercise any of these rights, contact us at support@legalhitech.com. We will respond within one calendar month.

Access

Request a copy of the personal data we hold about you.

Rectification

Request correction of inaccurate or incomplete data.

Erasure

Request deletion of your data where we no longer have a lawful basis to retain it.

Restriction

Request that we restrict processing of your data in certain circumstances.

Portability

Receive your data in a structured, machine-readable format where processing is based on consent or contract.

Objection

Object to processing based on legitimate interests, including direct marketing.

Withdraw Consent

Withdraw consent at any time where processing is consent-based, without affecting prior processing.

Complain

Lodge a complaint with the ICO at ico.org.uk if you believe we have mishandled your data.

9. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration. These measures include secure transmission protocols, access controls, and regular security reviews.

While we take reasonable steps to protect your data, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.

10. Cookies and Website Analytics

The Software itself does not use cookies or any equivalent tracking technologies.

Our website at legalhitech.com currently uses strictly necessary cookies only, to remember your preferences on the site. We do not currently use analytics, tracking, advertising or profiling cookies, and we do not share browsing data with any third party. If we introduce any cookie that is not strictly necessary, we will update this Policy and obtain your consent before that cookie is set.

11. Children's Privacy

The Software is intended solely for use by legal professionals and is not directed at persons under the age of 18. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child, please contact us immediately and we will take steps to delete it.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will notify registered users of any material changes at least 30 days before they take effect, by email or by a notice within the Software.

The current version of this Policy is always available at legalhitech.com/privacy-policy. The effective date at the top of this page indicates when the Policy was last revised.
