How to replace signed pages in a PDF without rebuilding it

Scan only the pages that were signed, name the file by their page numbers, and LHT DMS puts them in place.

The short answer

An affidavit or witness statement is usually finished as a clean PDF before it is signed. Only a few pages are then signed, and they come back as a scan. The signed pages have to replace the unsigned ones without disturbing the rest of the document or the bundle it sits in.

LHT DMS, a desktop program for Windows and macOS, does this on its Replace Pages tab. You name the scanned file by the page numbers it replaces, and the app swaps those pages into the original. No page is added or removed, so the bookmarks and the order of the pages are untouched.

Doing it by hand

A general PDF editor can replace a page. By hand you find each page and replace it, one at a time. The alternative is to scan the whole signed document and rebuild the bundle around it. Three things go wrong:

  1. Scan only the signed pagesSave them as one PDF whose name starts with the page numbers they replace, for example "10-11, 50 Signed Pages.pdf". That file must contain exactly three pages.
  2. Drag the original PDF in as the Master FileOn the Replace Pages tab. The Master is the file whose pages are to be replaced.
  3. Drag the scanned file in as a Child FileYou can add several Child Files for different pages. If a file does not contain the number of pages its name states, or two files claim the same page, the app tells you and changes nothing.
  4. Choose how the new pages are processedProcess only the replacement pages is the recommended setting. The File Options you tick, such as OCR and Render A4, are then applied to the scanned pages only.
  5. Click ReplacePages 10, 11 and 50 of the Master are replaced by the three scanned pages in order. The original Master is copied to a DMS Backup folder before anything is changed.

Where your document goes

Nowhere. The pages are replaced on your own computer. Nothing is uploaded to Legal Hi Tech or to any third party, and the software uses no generative AI.

Questions

How do I tell the app which pages to replace?

By the name of the scanned file. It must start with the page numbers or ranges, for example "5 Signed.pdf", "5-7 Signed.pdf" or "10-11, 50 Signed.pdf".

What if the scanned file has the wrong number of pages?

The app stops and tells you. A file named for three pages must contain exactly three, and the Master must have at least as many pages as the highest number named.

Is my original kept?

Yes. The original Master is copied to a DMS Backup folder in the same folder before it is overwritten.

Does it work on a compiled bundle as well as a single document?

Yes. The Master can be any PDF. The page numbers in the file name are the positions of the pages in that PDF.

What does it cost?
